Welcome to Fyfield Village Vets. These Terms and Conditions outline the rules and regulations for the use of our website (https://fyfieldvillagevets.com/) and the veterinary services we provide.

By accessing this website and registering your pet at our practice, we assume you accept these terms and conditions in full. Do not continue to use Fyfield Village Vets' website or services if you do not accept all of the terms and conditions stated on this page.

1. Practice Standards and Care

We are committed to providing the highest quality of veterinary care, skill, and attention for your pet. We ensure that our clinical staff are fully qualified, registered with the Royal College of Veterinary Surgeons (RCVS), and adhere to their code of professional conduct.

2. Appointment Booking & Registration

  • Appointments must be booked in advance via our online booking system or by telephone.
  • Due to high demand and our commitment to maintaining service quality, we operate a capped registration system. A waiting list will be implemented if we reach full capacity.
  • New additions to existing registered families will always be accepted.
  • In case of cancellation, we respectfully request a minimum of 24 hours' notice. Missed appointments or late cancellations may incur a fee.

3. Transparent Pricing and Estimates

We strive to be transparent with all our pricing. A detailed list of standard procedures (consultations, vaccinations, neutering) is available on our website.

  • For surgeries, dental treatments, or complex cases, a tailored estimate will be provided following a consultation.
  • Please note that estimates are approximations based on the expected course of treatment. The final invoice may vary depending on clinical findings or unforeseen complications during treatment.

4. Payment Terms (Strictly Cashless)

Fyfield Village Vets operates strictly as a cashless business. No cash is kept on the premises, and we do not accept cash payments for safety and administrative reasons.

  • Payment is required in full at the time of consultation, upon discharge of your pet, or upon collection of medications/diets.
  • We accept all major debit and credit cards.
  • Accounts not settled within our standard terms may be subject to administrative charges and referred to a debt collection agency.

5. Pet Insurance & Direct Claims

We strongly recommend lifelong pet insurance. As a Vetsure-accredited practice, we actively promote Vetsure products, but we will happily work with any reputable insurance provider.

  • Direct Claims: We can offer direct claims (where the insurer pays the practice directly) subject to pre-authorization and management approval.
  • If a direct claim is agreed upon, you are still liable to pay any excess, deductions, or costs not covered by the insurance policy directly to the practice at the time of treatment.
  • If the insurer declines to pay the claim for any reason, the outstanding balance remains the sole responsibility of the pet owner.

6. Prescriptions and Medications

We supply veterinary medicines directly from our in-house pharmacy. We also offer written prescriptions for animals under our care.

  • A written prescription fee applies (currently £21 for the 1st item, £12.50 for the 2nd item).
  • Legally, we can only prescribe medications to animals "under our care." This generally requires your pet to have been examined by our veterinary surgeon within the last 3-6 months (depending on the medication).

7. Data Protection and Privacy

We are compliant with UK GDPR. We hold your personal details and your pet's clinical records securely. We will not share your personal data with third parties without your consent, except when required for laboratory testing, microchip registration, or insurance claims.

8. Client Conduct & Zero Tolerance Policy

Our team works incredibly hard to care for your pets. We enforce a strict zero-tolerance policy against any form of verbal abuse, aggressive behavior, or harassment towards our staff. Any client breaching this policy will be asked to leave and struck off the practice register immediately.

9. Website Use and Intellectual Property

Unless otherwise stated, Fyfield Village Vets owns the intellectual property rights for all material on this website. All intellectual property rights are reserved. You may view and print pages for your own personal use subject to restrictions set in these terms and conditions.
